Job description

We are looking for an Office Manager to join our team.

Responsibilities

  • Office Supply Management: Organizing and maintaining inventory of all office necessities, including stationery and groceries, to ensure uninterrupted office functioning
  • Logistics Coordination: Managing interaction with courier services and contractors to guarantee timely delivery and document exchange
  • Employee Support: Providing administrative assistance to employees to create a comfortable and efficient working environment
  • Administrative Reporting: Keeping records and preparing regular reports to track office expenses and task completion statuses
  • Ad-hoc Task Execution: Handling various tasks from the head of the department to support broader operational goals
  • Workflow Optimization: Implementing AI-based solutions for routine scheduling and inventory tracking to streamline administrative processes.

Requirements

  • Relevant Experience: At least 1 year of proven experience in an Office Manager position to ensure smooth and professional daily office operations
  • Software Proficiency: Experienced user of MS Office to maintain organized documentation, schedules, and digital records
  • Language Proficiency: English at a B2 level (with Greek as a valuable advantage) to communicate effectively in a multicultural environment and coordinate with local vendors
  • Information Management: Ability to process and organize a vast load of information to prevent operational bottlenecks and maintain order
  • Proactive Problem-Solving: Energetic and proactive attitude with the ability to multitask under pressure to resolve office-related issues quickly
  • Communication Skills: Strong verbal and written communication skills to provide high-quality assistance to employees and management
  • AI Tooling Awareness: Interest in using AI tools for task scheduling, automated reminders, and document drafting to increase personal and office productivity.
