DUTIES AND RESPONSIBILITIES
As part of our Crewing team, you will be responsible for coordinating the end-to-end administrative process for personnel assignments worldwide.
Employee Coordination & Deployment Support
- Prepare and distribute onboarding packs, deployment instructions, and assignment documentation.
- Ensure all required documentation is received and verified before deployment.
- Act as a key point of contact for personnel before and during assignments.
- Maintain accurate records of promotions, assignments, and personnel movements.
- Coordinate travel arrangements, including flights, visas, medical examinations, and deployment requirements.
- Provide detailed pre-assignment briefings and guidance to personnel.
- Ensure all assignment-related information is communicated clearly and efficiently.
- Verify mandatory certifications and qualifications before assignments.
- Prepare contracts, extensions, and related employment documentation.
- Maintain complete and accurate personnel records in company systems.
- Ensure compliance with company policies, ISO standards, GDPR requirements, and industry regulations.
- Maintain and continuously update employee records within PANGEA and internal HR platforms.
- Monitor data accuracy and ensure all documentation is securely stored and easily accessible.
- Support reporting and administrative processes across the department.
- Assist the HR Manager and HR Supervisor with daily operational activities.
- Work closely with Crewing and Finance teams to coordinate expenses, refunds, and personnel-related matters.
- Contribute to process improvements that enhance efficiency and employee experience.
- Academic or college diploma, or equivalent professional experience.
- Relevant training in Human Resources, Administration, Business Support, or a related field.
- Previous experience in HR administration, operations coordination, crewing, logistics, or a similar role will be considered an advantage.
- Excellent written and verbal communication skills in English.
- Strong organizational and multitasking abilities.
- Ability to work independently while collaborating effectively within a team.

- Strong attention to detail and accuracy.
- Comfortable working with systems, databases, and digital documentation.
